The Accounting Assistant and Office Operations Manager performs dual duties within a company: assisting with the day-to-day financial aspects of the company while also maintaining the smooth daily operations of the office. This position requires high organization, attention to detail, the ability to multi-task, and the ability to adapt to a rapidly changing environment. The ideal candidate will work closely with various departments to support various accounting and administrative functions, including supporting Human Resources as necessary. Process and record daily financial transactions such as invoices, reimbursements, and purchase orders. Manage accounts receivable and payable to ensure timely invoicing and payment. Assist with monthly, quarterly and annual financial close processes, including preparation of accounting entries and reconciliations. Maintain accurate financial records, documentation and filing systems. Communicate and cooperate with external auditors, finance personnel and other departments to resolve financial discrepancies. Oversee front desk administrative duties, including greeting visitors, distributing mail, and managing office supply inventory. Maintain and update office policies and procedures to ensure compliance with company standards and relevant regulations. Responsible for coordinating office facility repairs and equipment maintenance. Assist with internal communications, including scheduling meetings, organizing company events and making office announcements. Assist with the onboarding and offboarding process of new employees, including workstation arrangement and access control management. Find and match various suppliers to purchase office supplies and necessary services/equipment. Negotiate supplier contracts and maintain relationships to ensure best price and quality of service. Maintain employee information and attendance records, and assist with payroll accounting and payment. Assist in arranging employee travel and expense reimbursement. Assist in organizing employee training, implementation of safety and health policies and compliance management. Education requirements: College degree or bachelor's degree in accounting, finance, business administration or related majors. Work Experience: 2 or more years of combined experience in finance/accounting and office administration (manufacturing background preferred). Software skills: Familiar with financial software (such as QuickBooks, Sage, etc.) and common office software (Word, Excel, PowerPoint). Bilingual in Mandarin and English is preferred; have excellent written and oral communication skills in English. Work Authorization: Must be legally eligible to work in the United States; this position is on-site. Have strong organizational coordination and multi-tasking abilities. Attention to detail and ability to ensure data accuracy and compliance. Excellent interpersonal communication skills, able to collaborate well with different departments and external suppliers. Ability to properly handle confidential information and comply with company confidentiality requirements. Able to independently identify and solve problems under tight deadlines. Able to proactively make suggestions for improvements in accounting and office operations processes. Market competitive salary (negotiable based on experience and ability).
